    Who are we?

    Hackney Playbus is a small Charity established in the United Kingdom providing play, learning, and support to families in East London. For the purposes of the General Data Protection Regulation (the “GDPR”), we are the data controller.

    This Privacy Statement sets out the basis on which we will process any data we collect from you in connection with your use of our services.

    If you have any concerns, we are happy to discuss the contents with you further and assess whether there are ways in which we can address your concerns.

    How do we collect information from you?

    We collect personal data from you via the online form you complete when you register with us. We may occasionally gather this information from you using paper forms. We may also receive information from our referral partners e.g. health visitors, which will only be passed on to us with your explicit consent.

    What information will we ask you for?

    Where it is in our legitimate interests (e.g. for funding purposes or to check our societal reach as well as to provide the service to you), we process the following personal data about you: the first name and last name of you and your child(ren), your age and the date of birth of your child, your contact details including your address and email address, whether you receive benefits, whether you live in temporary accommodation, and the primary language you speak.

    Where it is in the course of our legitimate activities, we will also process the following types of sensitive personal data: your ethnicity and the ethnicity of your child(ren).

    Please note that none of the information above is shared outside our organisation unless aggregated and anonymised (i.e. for the purpose of obtaining funding or measuring our reach) except that we may share your personal data if we are legally obliged to do so or it is a matter of safeguarding.

    Why do we collect information from you?

    Hackney Playbus has a legitimate interest in processing your information in order to deliver sustainable, effective and relevant services for you. We will use your information to create anonymised impact reports, help us find out if we are meeting our charitable aims, communicate with you about our service, measure attendance and use of our services, or where you have specifically agreed, provide you with information-only newsletters and/or text messages about free support services.
    Hackney Playbus does not engage in any marketing activity.

    Who has access to your information and where do we store your information?

    We store your information with Google Drive and TP Tracker. Google Drive has servers in the United States under the Commission’s model contracts for the transfer of personal data to third countries (i.e.the standard contractual clauses). The database system TP Tracker is protected by firewalls and intrusion detection systems. These protection systems are updated regularly and the servers, routers and firewalls are proactively monitored on a continual basis. Please contact us if you would like a copy of these clauses. All of our devices are password protected.

    How long will we keep your data?

    We will keep your data for 3 years after you cease to use our service after which time it will be anonymised.

    Your rights

    You have the right to ask us for a copy of your personal data; in certain circumstances, to correct, update, delete or restrict (stop any active) processing of your personal data; and to obtain the personal data you provide to us in a structured, machine readable format and to ask us to share (port) this data to another organisation.

    In addition, you can object to the processing of your personal data in some circumstances (in particular, where we are not required to process your data to meet a contractual or other legal requirement). These rights may be limited, for example if fulfilling your request would reveal personal data about another person, or if you ask us to delete information which we are required by law to retain or have compelling legitimate interests in retaining.
